HEROIC - Coaching Workshop and Activation Weekend
HEROIC put on a multi-day event in Austin, TX, encompassing two sub events: a workshop training for members of their coaching program and an activation weekend to invigorate new and seasoned members of their community alike.
They needed:
- B-roll event coverage during both events
- Testimonial interviews with advocate attendees
- An edited recap video for each event
We started the conversation with a discussion on these goals and planned out logistics to align with the event schedule.
For the workshop event, most b-roll coverage was scheduled for the busier middle day with multiple breakout rooms. This provided plenty of opportunity to capture candid, authentic interactions among workshop participants and with facilitators.
Because many of the same attendees (who would be strong brand advocates in testimonials) were participating in both sub events, we scheduled the main testimonial day later during the activation weekend when it would be easier to pull people from the main room during breaks and solo work.
We prepared a separate testimonial room with branded backdrops, which made it straightforward to change interview subjects and keep the same basic setup. The separate room also allowed for a more controlled environment away from the busyness of the event, which helped interview subjects to take some space and engage in a more candid chat about their event experience.
The activation weekend culminated in a group-participation Spartan Race, before the wrap up day. This meant on-site coverage at the race with a nimble, fast-moving setup to capture the energy and camaraderie of the participants.
By last-minute request, an additional testimonial interview day was added during the activation weekend, this time focusing on capturing a larger number of shorter interviews. This meant adjusting scope to single camera and mic, and keeping conversations shorter. We were able to get a good number of people in a capture a little bit of their stories and event experience, especially after the Spartan Race.
Editing began on the recap videos, in a full interview-based format, after wrapping production. The workshop weekend recap was prioritized, because HEROIC was looking to promote another similar event next.
After minor revisions, both went out, and the project was wrapped.
Hubspot for Startups - SXSW Activation Events
Hubspot for Startups brought their popular Unicorn Oasis Party to SXSW, and needed a highlight video to show off that and other surrounding activations.
They planned three related events:
- A popup smoothie truck to promote the party
- The Unicorn Oasis Party
- A networking brunch
We planned out some of the coverage, but the nature of event activations during a busy week like SXSW meant some things would have to be figured out on the fly.
This meant a low-profile camera setup for quick movements and crowded spaces was in order. And when there was a last-minute call made to take the smoothie truck on the move, camera was ready to follow.
During the Unicorn Oasis Party, it was important to capture attendee interaction, surprise and excitement interacting with themed elements and the unicorn mascot. This meant prioritizing outside coverage early while there was more daylight and showing fun energy before the party started.
The venue inside had a lot of variation in lighting, which meant continual adjustment. We planned coverage for several surprise moments with unicorn sparklers celebrating key attendees at regular intervals. The crowded nature of the venue required keeping in contact with venue staff to be prepared and in place to cover those big moments.
At the networking brunch the next day, coverage was focused on candid interactions with attendees to showcase the benefits of a relaxed networking environment. Focus was also put on co-sponsors to support co-branding efforts.
The edit started in the week after the event wrapped, in quick communication with the client’s marketing team. This supported a quick turnaround that met their goals and brand identity for social media.
Ragan - Business Conference
The annual Future of Communications Conference wraps up Ragan’s corporate event run for the year, bringing communications professionals together in Austin, TX for speakers, expos, sessions and networking.
Ragan needed a short sizzle reel that would effectively showcase the event experience for attendees and help encourage signups for the next one.
Coverage was planned for the busiest day of the conference, with a good variety of events on the schedule that would provide ample opportunity to show the range of attendee experience.
Footage was captured planning for what would be needed in the edit. This allowed for all necessary coverage in one day, and a simple editing turnaround. After a minor revision, the edit was quickly approved, and Ragan had a ready-to-go piece of media to support their branding and marketing strategy.
